ABOUT THE ROLE

Based in our Edinburgh Office, this varied role is integral to the engineering projects undertaken by our Edinburgh team, and the overall running of the Edinburgh office.

With an emphasis on document control, the Project & Office Administrator role involves updating, monitoring, and maintaining regularly-changing project related information across a number of internal applications, alongside other administrative duties in support of our Edinburgh office & engineering team.

Key areas of responsibility and activity include:

  • Digital document management and online document control, using file sharing platforms to upload and download information, and distributing as required for each project
  • Maintaining and tracking live project information, monitoring incoming project emails, and facilitating information flow between design team members
  • Setting up new jobs using internal systems and software applications
  • Data management and diary organisation
  • Being a point of contact for internal and external clients and project team members, providing a helpful interface in the absence of colleagues.
  • Administration of site safety letters and client questionnaires

Office duties include:

  • Ordering & monitoring office supplies and assisting with facilities maintenance, in line with our environmental objectives
  • Undertaking First Aid Training, and carrying out first aid and other H&S duties as required
  • Receiving and distributing invoices for authorisation and assisting with budget management
  • Shared reception duties – answering and transferring calls, greeting visitors, managing post, deliveries, and access cards
  • Arranging refreshments and in-house catering for meetings, and assisting with occasional event organisation
  • Occasional coordinating & booking travel, training courses and meetings

The role requires good interpersonal skills, a professional manner, and a flexible approach. It would suit a resourceful, creative thinker who is proactive and keen to learn. To succeed in this role, you will be well organised and have a good eye for detail. You will be able to manage your workload effectively to meet deadlines, whilst producing work to a high standard.

It is essential that you are a confident user of technology, competent in using standard digital applications such as Microsoft Office. It is also essential that you have excellent written & verbal communication skills and are fluent in English.

Some experience of working in a similar office environment is desirable but not essential. Overall, we are looking for a person who has capabilities and skills which can be applied to the role, and is enthusiastic to learn new skills and processes. An interest in the work that we do at Max Fordham and a commitment to promoting a sustainable ethos would be an advantage.

SALARY

£20,000 – 25,000 per annum, depending on experience
